M-03.2 Process documentation – process narrative refers to regulation 5(a). A process map standard is one possible way of documenting a process, procedure or system as required by regulation 5(a).

Format

1 Process Narrative

1.1 Effective documentation offers opportunities for improving productivity in the workplace. Effective documentation makes information easy to find, use and understand when organised in a logical format.

1.2 It can be of particular use to:

  • management and employees
  • contractors
  • regulators with auditing powers
  • new staff/contractors other building consent authorities when considering shared service arrangements.
1.3 Documentation is not leisure reading; it is used to inform and answer questions or to solve problems.

1.4 All (organisation's name's) building consent authority processes and procedures should be created using the organisation's document template. This template may contain the following.

  • Document title
  • Responsibility for process maintenance
  • Document control information (ie, date, version, etc.)
  • Table of contents

2 Document Structure (Not limited to examples below)

All procedures should follow in the organisation’s standard fonts and format. These may include but are not limited to:

2.1 Document header (example only)

  • The organisation’s logo
  • Document title
  • Revision history
  • Key process owner (role) responsible (for the content and maintenance of the document)

2.2 Background
Detail any legislation, history or associated material relevant to the document

2.3 Purpose
What is the reason for producing this document?

2.4 Scope
What does the document discuss? This can be listed as bullet points, but should be sufficient to explain the areas covered in the document.

2.5 Roles and Responsibilities
Describe the roles, positions or teams responsible for implementing aspects of the process.

2.6 Procedures
Describe how the process works. This documents the low-level series of process steps, especially of a practical or operational nature, involved in performing a particular function.

2.7 Related documents

Other documents in the quality assurance system that are relevant to this process or procedure.
